This policy applies together with our personal information governance policy.

At DOSE, we care about the protection of your personal information. This policy explains, in simple terms, what information we collect, why we collect it, with whom we share it, how we protect it, and what your rights are.

Any information that relates to a natural person, that makes it possible to identify them directly or indirectly, and that is not public in nature under a law.

However, Divisions II and III of the Act respecting the protection of personal information in the private sector, which concern collection, use, communication, retention and destruction, do not apply to personal information concerning the performance by the person concerned of a function within an enterprise, such as their name and function, as well as the address, email address and telephone number of their workplace.

It applies when you visit our website www.dosejuice.com, create an account, place an order, subscribe to our newsletter, leave a review, participate in our loyalty, referral or ambassador program, contact our customer service, apply for a job, work for our company, or interact with us on our social media.

It applies to all our employees, agents, suppliers and partners who may have access, in the course of performing their duties, to personal information.

It does not apply to third-party sites we may direct you to through a link: we therefore invite you to review their own policies.

We may collect your information notably in person, by email, through forms, telephone interviews, questionnaires, social media, text messages, electronically through our website, or through security cameras installed on the premises when required.

We collect personal information from you with your prior consent and provide up front, in simple and clear terms, notably the following information at the time of collection and afterwards upon request:

• The name of DOSE;
• The purposes for which this information is collected;
• The means by which the information is collected;
• The rights of access and rectification provided by law;
• The right to withdraw your consent tothe communicationor use of the information collected;
• The name of the third party for whom the collection is carried out, if applicable;
• The names of the third parties to whom it will be necessary to communicate the personal information;
• The possibility that the personal information may be communicated outside Québec.

Upon request, we will inform you of the personal information collected from you, the categories of persons who have access to this information within the company, the retention period of this information, as well as the contact details of the person in charge of the protection of personal information.

If you provide us with personal information pursuant to the paragraph above, you consent to its use and communication for the purposes for which it was collected.

Information you provide to us directly:

• Contact details — notably: first name, last name, postal address, phone, email.
• Billing information — notably: billing and shipping addresses, payment confirmation, payment-system data. Payment is processed by processors compliant with industry standards; DOSE does not retain your full card number.
• Account — notably: username, password, security questions.
• Shopping — notably: items viewed, cart, reviews, referrals, loyalty points, gift cards.
• Customer service — notably: the content of your messages.
• Job application — notably: resume, contact details, experience, academic background, skills, interests.
• Employment — notably: date of birth, social insurance number, photograph, photo ID, video images, banking information, and any other information relevant to hiring and employment.
• Any other personal information requested and provided in connection with the services offered.

Information collected automatically (usage data) — through cookies and similar technologies, we collect your IP address, information about your device and browser, your connection and your interaction with the site (see “Cookies”).

Information from third parties — our suppliers may collect information on our behalf, notably Shopify (the platform of our online store), our payment processors and, where applicable, the online marketplaces through which you buy our products. Some of our services are offered in connection with other websites. The personal information you provide tothese sites may be sent to us so that the service can be provided. This information is processed in accordance with this policy. Affiliated sites may have different privacy practices, which is why we recommend that you review their applicable policies and practices.

We collect, use and retain your personal information as necessary, notably to:

• Provide a service — verify your identity, communicate with you, respond to your requests, create and secure your account, update your information, offer services in a personalized way, improve our services.
• Provide our products and services — process your payments, fulfill and deliver your orders, manage your account, returns and exchanges.
• Marketing and promotion — send you promotional communications and our newsletter, present you with relevant advertising (see “Personalized advertising”), carry out profiling.
• Security and fraud prevention — detect and prevent fraudulent or malicious activities.
• Recruitment — recruit staff, process applications, assess the candidate’s profile against the job requirements, conduct hiring interviews, and hire employees.
• Employment — process the payment of salaries, withdrawals and other remuneration, produce personalized annual tax slips, efficiently manage our operations, ensure the safety of the premises and of the people on them, as well as compliance with health and safety rules.
• Administration — generate reports containing statistical data, keep the history of the services provided so that your file is up to date and accurate, communicate personal information to third parties when necessary.
• Website — improve, personalize and develop our site, provide updates and other information relating to our site.
• Legal obligations — comply with applicable laws.
• Any other compatible purpose.
• Enforce our rights, if applicable.

We collect and use your information with your consent, given for specific purposes. For sensitive information, your consent is express. We will ensure that we obtain a new, separate consent before using retained personal information for purposes that are not compatible with those for which it was initially collected.

You may withdraw your consent at any time, subject to our legal retention obligations; some services may then no longer be available.

Our site uses cookies to function and to measure its traffic:

• Essential — necessary for the site and store to function.
• Preference — to remember your choices (e.g. language).
• Analytics — to understand traffic and improve the site.
• Advertising — where applicable, to present you with relevant advertising.

For non-essential cookies (analytics and advertising), we collect your consent before activating them, through our cookie-management banner. You can change your preferences at any time. The effectiveness of certain services offered by the site may be affected if you refuse to activate cookies.

As our store is powered by Shopify, you can find information about Shopify’s cookies at shopify.com/legal/cookies.

With your consent, we may share certain information (identifiers, order information and usage data) with partners in order to present you with relevant advertising, notably through Shopify Audiences. You can opt out of personalized advertising supported by Shopify at privacy.shopify.com. If you visit our site with the Global Privacy Control (GPC) signal enabled, we treat it, where the law provides, as an opt-out request.

Your personal information is accessible only to our employees and to our suppliers or agents who necessarily need it to perform their duties, and they are required to respect the confidential nature of this information.

We do not sell your personal information.

We may communicate it, in compliance with applicable legal requirements:

• to government authorities, financial institutions, insurers;
• to our suppliers acting on our behalf: platform (Shopify), payment processing, fulfillment and delivery, cloud hosting, email sending and customer relationship management, analytics;
• to our human resources suppliers: human resources software, electronic payroll services;
• to our business and marketing partners, for advertising;
• to third parties when you ask us to or consent to it (e.g. social media widgets, third-party login);
• to third parties when required by law or to protect our rights, prevent fraud, or in the context of a corporate transaction (merger, reorganization).

In this case, our external service providers are subject to confidentiality agreements and legal restrictions prohibiting the use of the communicated information for purposes other than those for which we collected it.

Some of our suppliers, including Shopify, may store or process your information outside Québec. Your information may then be subject to applicable foreign laws. Before such a communication, we carry out an assessment to ensure that it benefits from adequate protection.

If you post a review or any other content in a public area of the site, that content becomes public and accessible to others. We cannot guarantee the confidentiality of the information you choose to make public.

We retain your information only for as long as necessary for the purposes of its collection or for the period required by law (notably tax and accounting). At the end of that period, it is securely destroyed in accordance with applicable laws.

Persistent cookies remain active on your device for a maximum period of 2 years.

No security measure is perfect, but we implement reasonable measures adapted to the sensitivity of the information held, the risks to which it is exposed and the obligations to which we are subject, notably: access on a need-to-know basis, technical and organizational measures, confidentiality agreements with our suppliers and staff, awareness among our teams, the use of firewalls and secure servers, encryption, and careful selection of processors. We recommend that you do not transmit sensitive information through an unsecured channel and that you keep your credentials confidential.

Our services are not directed at children and we do not knowingly collect their information. In Québec, consent regarding a minor under 14 must be given by the holder of parental authority or guardian. If you are the holder of parental authority or a guardian and believe that a child has provided us with information, contact us so that we can remove it.

You may, through our person in charge:

• access the information we hold about you and find out how it is used, subject to exceptions provided by applicable laws.
• request its rectification if it is inaccurate, incomplete or equivocal;
• withdraw your consent, subject to legal retention obligations, or unsubscribe from our marketing communications (unsubscribe link in our emails). The withdrawal of consent takes effect only for the future, upon our receipt. Upon receiving the notice of withdrawal, we undertake to cease any use of the personal information concerned and to destroy it, subject to a legal or regulatory retention obligation. We will also notify any person or entity to whom this personal information was communicated in accordance with the consent obtained, so that they also cease their use and destroy it, if applicable. However, we may not be able to honourour obligations in the event of a request to withdraw consent or of early destruction; in that case, we cannot be held liable for any harm you may suffer;
• request the portability of the computerized information you have provided to us (that your personal information be provided in a structured, commonly used technological format, unless serious practical difficulties arise);
• in the cases provided by law, request that the dissemination of information cease or the de-indexing of a link;

To exercise any of these rights, contact our person in charge of the protection of personal information at the contact details above. We will respond within 30 days. For your protection, we may request proof of identity; you may also designate an authorized person to act on your behalf, upon proof of their authorization. The process is free; reasonable fees may apply in the cases provided by law, and we would notify you beforehand.

Any complaint concerning, notably, the collection, retention, use, communication or destruction of, or the rights of access, rectification or withdrawal relating to, your personal information must be addressed to the person in charge of the protection of personal information.

The complaint must be submitted in writing and include your contact details as well as all relevant elements to document and support it, including the nature of the personal information targeted by the complaint.

The person in charge of the protection of personal information will analyze it and provide a response within thirty (30) days of receiving the complaint.

If you are not satisfied with our response, you may contact the Commission d’accès à l’information du Québec (CAI).

You are responsible for the accuracy of the information you provide to us.

You must also ensure that the system or equipment with which you transmit or receive information from us is sufficiently secure, and you must exercise vigilance. We cannot be held liable for unauthorized access to information resulting from negligence or from vulnerabilities present on your equipment or system.

Should the confidentiality of your information be compromised or your identity stolen, you must notify us as soon as possible by contacting the person in charge of the protection of personal information identified above.

A confidentiality incident means access to personal information not authorized by law, use of personal information not authorized by law, communication of personal information not authorized by law, the loss of personal information, or any other breach of the protection of such information. In the event of a confidentiality incident, we will promptly take the measures required to reduce the risk of harm to you and to prevent new incidents of the same nature. In the event of a risk of serious harm to you, we will inform you as well as the Commission d’accès à l’information.

We keep a register of all confidentiality incidents we experience, if any, including those that do not present a risk of serious harm to the persons concerned.

We will allow the Commission d’accès à l’information to consult this register and may provide it with a copy upon request.

We may modify this policy to reflect changes to our practices or to the law. We will publish the revised version on this page, update the date, and issue a notice if required by law.
